Position Overview
ELA events constitute a key mechanism for coordination and cooperation among ELA member parties on major political issues and challenges facing the left in Europe. They represent one of ELA’s principal instruments, bringing together Members of the European Parliament, national Members of Parliament, party activists, and other relevant stakeholders.
The ELA Events and Organisational Support Officer will play a key role in supporting the organisation of these events and meetings, including statutory meetings, thematic meetings, and meetings organised in partnership with ELA member parties and other stakeholders.
The Events and Organisational Support Officer will be responsible for supporting the effective planning and implementation of these events, including managing invitations, liaising with speakers, coordinating accommodation and travel arrangements, handling registrations, documenting meetings, collecting invoices, and managing reimbursements.
Working closely with the Secretary General, the rest of the ELA team, and ELA member parties, the Events and Organisational Support Officer will be an integral member of the ELA team and contribute significantly to the smooth functioning of ELA’s activities.
This role is ideal for a proactive, politically engaged professional who enjoys hands-on organising of events, and working in a fast-paced leftist European political environment.
The position also requires occasional travel within Europe to support and respond to the needs of ELA events.
1. Key Tasks and Responsibilities
The Events and Organisational Support Officer shall, under the supervision of the Secretary General and in close cooperation with all members of the ELA team:
- Support the planning, coordination, and logistical organisation of ELA events and meetings, including statutory and thematic meetings.
- Contribute to the organisation of meetings held in cooperation with ELA member parties and other relevant stakeholders.
- Liaise with speakers, moderators, and partners regarding the programme.
- Coordinate logistics for events (venues, registrations, service providers, speakers).
- Manage event-related administrative processes, including invitations, registrations, and participant follow-up.
- Coordinate travel and accommodation arrangements for participants, in line with applicable internal rules and budgetary constraints.
- Ensure accurate documentation of meetings, including agendas, attendance lists, and reports, as required.
- Collect, process, and follow up on invoices and supporting documents related to events, managing reimbursement procedures in accordance with ELA financial and administrative rules.
- Contribute to the smooth internal coordination between the Secretariat, ELA member parties, and external stakeholders.
- Provide general administrative and organisational support to the Secretariat, as required.

- Undertake additional tasks as needed to support the wider ELA team and political activities.
2. Requirements
- Proven experience in event organisation, administrative support and coordination, preferably within an NGO, political organisation, or international environment.
- Strong organisational and administrative skills, including experience with documentation and reimbursement procedures, and with the ability to handle multiple tasks and deadlines simultaneously.
- Strong written and oral communication skills in English. Additional languages are a strong asset.
- Strong interest in progressive movements, and left, green, and feminist values. Alignment with ELA’s values of solidarity, equality, social justice, peace, and democratic participation.
- Ability to work independently as well as collaboratively within a small, international team.
- Good command of standard office software and digital tools.
